Rental and Cancellation Policies
These policies provide general information about renting from Yellow Car Rental. Vehicle-specific requirements, charges and restrictions will be shown in your reservation confirmation or rental agreement. Policies may vary for passenger vans, moving trucks, luxury, exotic and specialty vehicles.
1. Reservations and vehicle availability
Submitting a reservation request does not guarantee availability. A reservation is confirmed only when Yellow Car Rental issues a confirmation and completes any required payment, deposit or verification.
Reservations are generally made by vehicle category, not by a specific make, model, year, colour or feature. If the reserved vehicle is unavailable, Yellow Car Rental may offer a comparable or upgraded vehicle.
If Yellow Car Rental cannot provide the reserved category or a suitable alternative, the customer may cancel and receive a refund of amounts paid directly to Yellow Car Rental for that rental.
2. Driver and licence requirements
The primary renter and every additional driver must:
- Present a valid, original and unexpired driver’s licence;
- Hold the appropriate licence class for the rented vehicle;
- Meet the applicable minimum-age requirement;
- Provide requested identification; and
- Be approved and listed on the rental agreement before driving.
Ontario G1 and G2 licences are not accepted.
Valid foreign driver’s licences may be accepted. An International Driving Permit or certified translation may also be required if the licence is not in English or French.
Yellow Car Rental may request up to three pieces of identification, including photo identification, where reasonably required to verify identity and rental eligibility.
3. Age requirements
Minimum-age requirements vary by vehicle:
- Moving trucks: 21 years or older
- Regular cars, minivans and SUVs: 23 years or older
- 10- and 12-passenger vans: 23 years or older
- Luxury, exotic and specialty vehicles: Additional restrictions may apply
A young-driver surcharge of $15 per day may apply to drivers under 25. The applicable age requirement and surcharge will be confirmed before rental.
4. Additional drivers
Only drivers listed and approved in the rental agreement may operate the vehicle.
Additional drivers are subject to:
- The age and licence requirements for the selected vehicle;
- Identity and licence verification; and
- A charge of $9.99 per day, per additional driver, plus applicable taxes.
The number of additional drivers permitted depends on the vehicle category and will be confirmed at the time of rental.
5. Licence verification
Yellow Car Rental reserves the right to verify the driver’s licence of the primary renter and any additional driver.
Licence verification is mandatory for luxury and exotic vehicles and may be required for other rentals. A fee of $7.95 applies for each licence verification where disclosed as part of the reservation or rental.
Personal information collected for verification will be handled in accordance with Yellow Car Rental’s Privacy Policy.
6. Payment and security deposits
Yellow Car Rental accepts Visa, Mastercard, American Express, JCB, debit card and cash for eligible rental charges.
Cash is not accepted for security deposits. A valid accepted credit card is required for the rental deposit or preauthorization. The credit card may be required to be in the primary renter’s name.
Luxury and exotic vehicle rentals require a credit-card deposit or preauthorization of $2,500 to $5,000. Deposit requirements for other vehicles vary and will be disclosed before pickup.
A security deposit does not limit the renter’s responsibility for charges arising under the rental agreement.
A preauthorization may temporarily reduce the cardholder’s available credit. After Yellow Car Rental releases the authorization, the card issuer determines when the funds or available credit are restored.
7. Cancellation policy
Cancellation conditions depend on the reserved vehicle category. The cancellation terms applying to a reservation will be shown in the reservation confirmation.
Regular passenger cars
For compact, midsize, full-size and premium cars:
- All cancellations are subject to a minimum charge equal to one day’s rental.
- Cancellations must be received more than 72 hours before the scheduled pickup time.
- Cancellations received within 72 hours of pickup may be charged the full confirmed rental amount.
High-season and specialty rentals
From May 15 to September 30, confirmed reservations for minivans, SUVs, convertibles, moving trucks, and luxury or exotic vehicles may be non-refundable and subject to the full confirmed rental charge.
Passenger vans
Confirmed reservations for 7-, 8-, 10- and 12-passenger vehicles are non-refundable and will be charged the full confirmed rental amount if cancelled.
No-shows and failed pickups
A customer may be considered a no-show if the customer:
- Does not arrive at the confirmed pickup time;
- Does not contact Yellow Car Rental to arrange a later pickup; or
- Cannot complete the rental because the driver, identification, licence, payment method or deposit requirements are not satisfied.
No-shows may be charged the full confirmed rental amount, and the vehicle may be released to another customer.
Any cancellation exception, credit or date change offered by Yellow Car Rental is discretionary, must be confirmed in writing and does not establish a right to future exceptions.
Nothing in this policy limits a customer’s rights under applicable law.
8. Reservation changes and early returns
Changes to dates, pickup times, rental duration, locations or vehicle categories are subject to availability and current rates. Absolutely No cancellations or changes on 12 and 15 passenger vans confirmed reservations.
A substantial change may be treated as a cancellation and new reservation. Customers should request changes as early as possible.
Returning a vehicle before the scheduled return date does not automatically entitle the renter to a refund or rate adjustment.
9. Insurance and damage waivers
Customers declining Yellow Car Rental’s optional Loss Damage Waiver or Collision Damage Waiver must present acceptable proof of applicable personal or other coverage at pickup.
Personal automobile insurance and credit-card benefits vary by provider, vehicle, driver, destination and rental duration. Yellow Car Rental does not guarantee that a customer’s personal insurance or credit-card benefits provide sufficient coverage. No coverage will be accepted for 12 and 15 passenger vans.
Customers are responsible for confirming their coverage directly with their insurer or card provider before pickup.
If optional LDW/CDW is declined, the renter remains responsible for loss or damage as provided in the signed rental agreement, subject to applicable law and any valid external coverage.
10. Mileage
Mileage allowances and excess-kilometre rates vary by vehicle and rental package. The applicable allowance and rate will be shown in the reservation confirmation or rental agreement.
Available options may include:
- Daily kilometre allowances;
- Additional 500-1000 kilometre packages;
- Approved United States mileage packages.
Additional kilometres beyond the applicable allowance will be charged at the rate stated in the rental agreement.
11. Fuel
The vehicle must be returned with the same fuel level recorded at pickup.
If the vehicle is returned with less fuel, the renter will be charged:
- The cost of the missing fuel; and
- A $45 refuelling service charge, plus applicable taxes.
12. Travel outside Ontario and Canada
Travel outside Ontario or Canada must be disclosed in advance and approved by Yellow Car Rental.
The following charges may apply:
- $9.99 for approved travel outside Ontario; and
- $9.99 for approved travel outside Canada.
Travel is permitted only within the territory approved by Yellow Car Rental. Unauthorized cross-border or out-of-province travel is a breach of the rental agreement and may affect optional damage-waiver protection. The renter may also be responsible for resulting losses, damages, recovery expenses and other charges stated in the rental agreement.
13. Smoking, vaping and cleaning
Smoking, vaping and cannabis use are prohibited inside every Yellow Car Rental vehicle.
If a vehicle is returned with smoke or vapour odour, ash, burns or residue, a cleaning and deodorizing charge of $175 to $500 may apply, depending on the condition of the vehicle.
Additional charges may apply for physical damage, excessive dirt, stains, garbage, pet hair or other conditions requiring specialized cleaning or repair.
14. Tolls, tickets and other violations
The renter is responsible for all tolls, including Highway 407 ETR charges, as well as parking charges, traffic offences, fines, towing, storage and impound charges arising during the rental period.
Yellow Car Rental may charge:
- The applicable toll, fine or third-party charge; and
- An administration fee of $45 for processing each notice or invoice.
These charges may be processed after the rental ends, including when Yellow Car Rental receives a notice at a later date. The renter’s information may be provided to the appropriate authority or toll operator where legally permitted or required.
15. Extensions and late returns
A rental extension must be requested before the scheduled return time and is valid only after approval by Yellow Car Rental. A one-hour grace period is provided after the scheduled return time. If the vehicle is returned more than one hour late, an additional full day’s rental charge will apply.
Additional payment or credit-card authorization may be required. Keeping the vehicle beyond the agreed return time without approval may result in additional rental, late-return and vehicle-recovery charges.
16. After-hours returns and key drop
After-hours or key-drop returns must be arranged in advance.
The renter remains responsible for the vehicle, keys, fuel level, mileage and condition until Yellow Car Rental locates and checks in the vehicle during its next operating period.
Yellow Car Rental may require prepayment of the expected rental charges and an additional credit-card authorization for charges discovered during check-in.
17. Accidents, theft, damage and breakdowns
Any accident, theft, vandalism, damage, warning light or mechanical problem must be reported to Yellow Car Rental immediately.
The renter must:
- Stop using the vehicle if continued operation may be unsafe;
- Contact the police or emergency services when required;
- Obtain the information of other parties and witnesses;
- Not authorize repairs without Yellow Car Rental’s permission; and
- Cooperate with Yellow Car Rental and its insurance providers.
18. Post-rental charges
Some charges may not be known when the vehicle is returned. These may include tolls, tickets, fuel, excess mileage, cleaning, damage, towing, storage, impoundment and late-return charges.
The renter authorizes Yellow Car Rental to process amounts properly payable under the signed rental agreement using the payment method provided. An itemized receipt or notice will be provided where appropriate.
19. Hours and shuttle service
Regular business hours are:
- Monday to Friday: 9:00 a.m.–7:00 p.m.
- Saturday: 9:30 a.m.–2:00 p.m.
- Sunday: Closed
Complimentary pickup, drop-off or shuttle service may be available within 10 kilometres and for airport customers. All shuttle and after-hours arrangements are subject to advance request, operating availability and confirmation by Yellow Car Rental.
20. Rental agreement and vehicle-specific terms
These website policies provide general information. Different requirements may apply to passenger vans, moving trucks, luxury, exotic and specialty vehicles.
The customer’s reservation confirmation will identify important vehicle-specific reservation and cancellation conditions. The rental itself is governed by the rental agreement signed at pickup.
Where vehicle-specific terms differ from these general policies, the vehicle-specific terms disclosed to and accepted by the customer will apply, subject to applicable law.
Questions and acknowledgement
Customers are responsible for reviewing these policies, their reservation confirmation and the rental agreement before completing the rental. By confirming a reservation or signing the rental agreement, the customer acknowledges the terms applicable to the selected vehicle and authorizes charges permitted under those terms.
